1. Introduction

This Privacy Policy explains how Fieldly collects, uses, stores and otherwise handles personal information when you visit fieldly.in, contact us or submit information through the Website.

Fieldly is a brand operated by Raaxo Technologies, [Legal entity type to be confirmed], having its registered/business address at Chennai, Tamil Nadu, India.

For personal data for which we determine the purpose and means of processing, the relevant Fieldly operating entity acts as the responsible organisation or Data Fiduciary, as applicable under Indian data-protection law.

This Privacy Policy applies to the public Fieldly Website.

It does not yet govern personal data that may in the future be processed inside the Fieldly SaaS platform on behalf of Fieldly customers. Such processing will be subject to appropriate customer agreements and data-processing terms.

2. Information we collect

Depending on how you interact with the Website, we may collect information that you voluntarily provide.

This may include:

  • your name;
  • company or organisation name;
  • work email address;
  • telephone number;
  • approximate workforce size;
  • messages, requirements or enquiries submitted to us;
  • communications exchanged with Fieldly after an enquiry.

When you access the Website, our hosting infrastructure may also automatically process limited technical information necessary for delivering and securing the Website, such as:

  • IP address;
  • browser type;
  • device or operating-system information;
  • date and time of requests;
  • requested pages or resources;
  • diagnostic, security and server-log information.

3. How we collect information

We may receive information:

  • directly from you when you submit the Request a Demo or contact form;
  • when you email or otherwise communicate with us;
  • automatically through ordinary server, hosting and security infrastructure;
  • from another person within your organisation who legitimately provides your business contact information to us.

4. Why we use information

We may use information collected through the Website to:

  • respond to demo requests and enquiries;
  • communicate with prospective customers;
  • understand an organisation's operational requirements;
  • arrange product demonstrations or discussions;
  • provide information requested about Fieldly;

5. Demo requests

When you submit a Request a Demo form, the information provided is transmitted to Fieldly so that we can review and respond to your request.

The form currently requests information including name, company, work email, phone number, workforce size and an optional description of your requirements.

Submission of the form is voluntary.

Please do not include confidential employee records, Aadhaar numbers, banking information, passwords, medical records or other unnecessary sensitive information in the free-text message field.

6. Communications

If you request a demonstration or contact Fieldly, we may contact you regarding that request and related Fieldly products or services.

Operational responses to an enquiry are different from general promotional marketing.

Where consent or another legal requirement applies to promotional communications, we will comply with the applicable requirement.

You may ask us to stop non-essential marketing communications by contacting us at support@fieldly.in.

7. Cookies and similar technologies

Fieldly does not currently use analytics, advertising cookies, non-essential cookies or behavioural tracking technologies on this Website.

Basic technical information may still be processed by our hosting and security infrastructure as necessary to deliver and protect the Website.

8. How we share information

We do not sell personal information.

We may share or allow access to information only where reasonably necessary, including with:

  • hosting and infrastructure providers;
  • email and communications providers;
  • technology providers supporting Website operation;
  • professional advisers where necessary;
  • government authorities, regulators, courts or law-enforcement bodies where disclosure is legally required;
  • a successor organisation in connection with a genuine merger, acquisition, restructuring or transfer of the relevant business, subject to appropriate safeguards.

Service providers should receive only the information reasonably necessary for the relevant service and remain subject to applicable contractual or legal obligations.

9. Hosting and email providers

The Fieldly Website and its communications may rely on third-party hosting, infrastructure and email providers.

At present, the Website and Fieldly email infrastructure may use services provided by Hostinger.

Such providers may process limited information on our behalf for purposes including website hosting, server operation, email delivery, security, backups and technical support.

Fieldly determines the purposes for which demo-request information is processed; these providers support delivery of the relevant services.

10. International processing

Some technology or infrastructure providers may operate systems or personnel in jurisdictions outside the location from which you access Fieldly.

Where personal data is transferred or processed across jurisdictions, we will seek to handle such transfers in accordance with applicable legal requirements.

11. Data retention

We retain personal information only for as long as reasonably necessary for the purposes for which it was collected, including responding to enquiries, maintaining legitimate business records, resolving disputes, security purposes and complying with applicable legal obligations.

Demo or business-enquiry information that does not result in an ongoing commercial relationship should not be retained indefinitely.

Specific retention periods may depend on the nature of the communication and any subsequent business relationship.

12. Security

We use reasonable technical and organisational measures intended to protect information against unauthorised access, alteration, disclosure, loss or misuse.

These measures may include access controls, secure hosting practices, encrypted network communications and limiting access to information to persons or service providers who reasonably require it.

However, no Internet transmission or storage system can be guaranteed to be completely secure.

Users should not send passwords, banking credentials, Aadhaar numbers or other unnecessary sensitive information through the public demo form.

13. Your choices and rights

Depending on applicable law and the circumstances of processing, you may have rights regarding your personal data.

These may include rights to request information about processing, seek correction or updating of inaccurate data, request deletion where applicable, withdraw consent where processing is based on consent, and raise a grievance regarding the handling of your personal data.

Withdrawal will not affect processing that was lawful before the withdrawal and may not apply where processing is permitted or required on another lawful basis.

Fieldly is a business-to-business service and the Website is not directed to children.

We do not knowingly seek personal information from children through the Request a Demo form.

If you believe that a child has submitted personal information through the Website inappropriately, please contact us so that we can review the matter.

17. Customer and employee data in the future Fieldly platform

Fieldly is being developed as a business platform that may allow customer organisations to manage workforce, attendance, deployment, payroll, compliance and related operational information.

When the SaaS platform becomes available, a Fieldly customer may determine the purposes for which it submits or manages employee or workforce data through the platform.

The respective responsibilities of Fieldly and the customer for such information will be governed by applicable law and the relevant customer agreement and Data Processing Agreement.

This Website Privacy Policy should not be interpreted as the complete data-processing agreement for the future Fieldly SaaS service.

The Website may contain links to websites or services operated by third parties.

Fieldly does not control the privacy practices of those third parties.

Users should review the privacy information provided by the relevant third party before providing personal data to it.

We may update this Privacy Policy periodically as the Website, Fieldly services, technology or applicable legal requirements develop.

When the Policy is updated, we will revise the “Last updated” date displayed at the top.
